SCOPE OF SERVICES
Our services are tailored to fit your companies specific needs. We understand that businesses vary in size and structure, thus we have provided a breakdown of the range of services JTE offers, enabling you to determine which service is the most suitable for your company.
HYBRID SERVICES
In instances where an employee can complete some of the work, however you still want to hire us to handle certain tasks that require professional completion, and relieve the internal workload burden. JTE assumes full operation for that specific service, while keeping a hybrid view on the internal business operations.
FULL SERVICES
In instances where there are no employees or office staff handling the business operations. JTE steps in as your external project management team. Depending on the profession criteria, we assume responsibility over the back-office work, which includes planning, scheduling, tracking, payments, and so on.
ON DEMAND SERVICES
In instances where you conduct your routine work internally, but occasionally require additional assistance with specific or one time duties. JTE will handle and ensure that the required work is completed successfully and efficiently.
OVERVIEW SERVICES
In instances where there is a full time employee operation, but you do believe it would be beneficial to have expert oversight and advice from an external dedicated team. JTE will supervise the companies operations and implement changes/ amendments if applicable.
Comprehensive Services Designed to Meet Every Need
Now it doesn’t matter the scope of service you ultimately choose to take, there still needs to be a full and clear understanding what exact services you would take which will be committed by both sides most practically to break down by service type such as
- Plan handling from start to finish and everything in between.
- Schedule and budget planning.
- Purchasing and bidding and inventory management plus account payable
- Real time project management and monitoring.
In all cases we will need to have a clear plan how and when the vendors will be paid either by us or the customer to ensure the integrity of our buying power in no case we will put money up front for the vendors from our accounts
If you’re more comfortable with staying with your current suppliers, and already have a good rapport established with many of them, we can factor that into our contract as it makes it a smaller task for us.
Terms
Includes all administrative work such as Bookkeeping, Project financing, recruiting etc. which will be specified later in the book, can still be monitored by our team to a limited extent which will be specified in the contract for full service or hybrid customers.
Transparency Commitment
One of our biggest priorities is Transparency as we genuinely believe in order to get the best outcome for the project there needs to be trust between all parties, therefore we have set some rules for openness around the project however it could depend on the customer’s needs and structure so there is always room for revision.
- JTE does not give preference to their customers as vendors.
- All the correspondence between the vendors and JTE should be visible to the customer either way the customer chooses to, preferably will represent you with a email in your organization where applicable.
- A detailed report of the work will be available for the customer Weekly/Monthly depending on customer preference
- Each decision on behalf of the customer will be attached with a explanation and price tag.
- JTE is committed against any backdoor deal with any vendor on the basis of a different customer.
- JTE will exclude any vendor they have an financial interest or share in to bid on any project they produce.
- The customer and JTE are both committed to disclose any actions and steps regarding the project.
Legal Framework
In order to keep our services to the highest standard and for the interest of both parties it is important to have full clarity of the legal commitments and framework under which we operate.
- JTE cannot be held liable for any decision or steps the customer takes.
- JTE is not a party in any contract that is worked out with vendors.
- Final approval and signing always need to be from the customer itself
- JTE works as an independent company with a contract on the services they do and are working outside of any legal frame of the customer.
Job timing and milestones
Another important part of the contract will be the dates and deliverable indicator which need to be specified in the contract some of the basic details are as follows.
When Contract start and when it ends or needs to be renewed (if it’s a consistent customer contract will need to be renewed every 12 months in order service you as per the latest data possible)
What will be considered delivered by both parties (an indicator when both sides will consider the job running as planned)
Set the milestone dates (set the dates when service should be delivered based on project timing)
Payments and pricing
All the aspects of payments and pricing needs to be worked out in advanced and it depends a mostly on the 1, size of the business 2, scope of the work 3, timing of the work. which all of them we specified in this book for example some jobs even if it’s bigger but if the customer have a respectable internal operation, it will reduce the price, As well if there will be more fringe work attached to the contract it will also reduce the price.
For starters the fee is usually a 3 percent fee based on the particular project value
Its important to note that once a contract is signed there can be no additional fees added even if the job turns out to required more than anticipated.
Contact ppl
Before starting the job, we will need a full list of all contact people where applicable to avoid unnecessary back and forth. and to be able to implement the best understanding for both parties. Here is a list of contacts we will probably need.
Office manager (In case there is a office handling part of the work will need the contact info of the person running the operations there to make sure there is a proper understanding on the operations from both sides)
Project manager (If there is a project manager dedicated to that project its important to keep up with him on a day to day basis to make sure project is moving smoothest possible)
Accounts receivable (It’s necessary to keep up with the AR Department for us to have the most clarity where payments for vendors are are up to)
Bookkeeping dept.(Either you have a outside bookkeeper or internal its crucial for the business we should have a genuine understanding and collaborate on the financials
Confidentiality and intellectual property
JTE is committed to total confidentiality not to disclose any confidential information from the customer under no circumstances unless otherwise instructed by the customer including any information about the project, pricing, vendors, plans, etc, Exclusion only mandatory notification responsibilities under Law.
Any intellectual data files and contracts is the ownership of the customer and will be given access at any time as well any rights on it
Recognizing that the various items of information are special and unique assets of the Client, JTE agrees and covenants that for a period of 2 years following the termination of the Contract, JTE will not directly or indirectly engage in any business competitive with the Client.
Termination
If any party wants to terminate the contract there needs to be 30 days written notice
All material relevant to the project JTE worked on will be given and handed over to the customer upon termination.
The privacy and confidentiality commitments remain in place by both parties even after termination.
Exclusions
In order to ensure the best outcome of our services and to keep the focus, we have excluded any work which is not directly related to a particular project as we do not handle the overall business operations, for example.
- Employee management
- Bookkeeping
- Payroll
- on-site management
- customer correspondence
- Customer collection
As well any on site work and management must be done exclusively by the customer in order to maintain best balance.
